Information we collect
We collect information necessary to operate the HOAAdminly platform. This includes account credentials (such as email addresses and authentication tokens via our auth provider, Clerk), association details, lot and homeowner records, financial ledgers, and uploaded documents.
When you interact with the service, we also collect technical data such as IP addresses, browser types, and standard web request logs for security and debugging purposes.
How we use your information
We use the collected data strictly to provide, maintain, and improve the HOAAdminly service. This includes authenticating users, displaying association records to authorized members, processing eligible online ACH transactions via Stripe, and storing documents in our private storage systems.
We do not sell your personal data to third parties. We do not use your community data for external marketing.

Third-party providers
HOAAdminly relies on trusted third-party infrastructure providers. We use Clerk for secure authentication, PostgreSQL for database storage, Replit GCS for private document storage, and Stripe for eligible online ACH payment processing. These providers process data in accordance with their own security and privacy policies.
Currently, email and SMS communication features are not actively enabled in our live environment, but their foundational systems follow the same strict data-handling principles.
Security and retention
We implement standard security measures, including HTTPS encryption in transit and database safeguards. However, no internet transmission is entirely secure, and we cannot guarantee absolute data security.
We retain association data as long as the association account is active. If an account is terminated, data is retained only as necessary to comply with legal obligations, resolve disputes, and enforce agreements.
