Frequently asked questions about HOAAdminly
Find answers about HOAAdminly’s community workspace, pilot, data handling, association records, and support for boards and managers.
What is HOAAdminly?
HOAAdminly is a management platform designed for homeowners associations, volunteer boards, and community managers to organize dues, track maintenance, and share documents in a single, predictable workspace.
Who operates HOAAdminly?
The platform is operated by ONYXora LLC, based in Omaha, Nebraska, USA.
Is HOAAdminly for volunteer boards or management companies?
Both. It provides a simple, structured view that helps volunteer boards collaborate without needing accounting degrees, while offering management companies the organization they need to oversee multiple communities.
Does HOAAdminly process real payments right now?
Eligible associations can accept one-time online ACH payments and recurring ACH autopay after Stripe onboarding. Availability is shown in the workspace; checks, cash, and bank-reference receipts remain available, while paid platform subscription checkout is not currently available.
Are my association documents secure?
Yes. We use standard authentication frameworks and secure private storage (Replit GCS) so that sensitive files like budgets and insurance policies are only accessible to authorized board members or homeowners.
How do homeowners access their records?
Once invited, homeowners can sign into the platform to view their specific lot balances, payment history, and public community documents without seeing sensitive board-only materials.
Does HOAAdminly send automated emails or SMS?
Currently, the email and SMS notification systems are disabled in our live environment to ensure privacy and prevent accidental communications during our pilot phase.
What happens if I forget my password?
You can use the Forgot Password link on the sign-in page to securely reset your credentials through our authentication provider.
Can I track open repair requests?
Yes. The operations tab allows the board to log work orders, set priorities, assign locations, and update statuses until the job is resolved.
How does the document library work?
You can upload documents and assign them visibility levels—such as Board only or Board and homeowners—to ensure privacy while keeping important forms accessible.
Is there a limit to how many lots I can add?
The pilot environment supports associations of various sizes, though our pricing tiers are structured by unit count (ranging from 1-50 units up to 301+ units).
How do I handle delinquent dues?
HOAAdminly tracks assessment statuses (upcoming, open, partial, paid, late) clearly on the lot record, making it easy to identify and export past-due accounts for your standard collection process.
Can I manage multiple associations?
Yes. A manager or board member can be granted access to multiple association workspaces under a single user login, with strict data separation between communities.
Do you sell my community data?
No. We strictly use your data to operate the service for your association and do not sell information to third parties.
How do I request help or report an issue?
Use the HOAAdminly contact form to request help or report an issue. Include the association, workflow, and any reference number that will help us investigate.
Can I export my data?
The platform provides clear views of your ledgers and directories. Future updates will introduce more comprehensive CSV export features for offline archiving.
